Submitted Joint Quarterly Report for June-August to ASpace Governance Board; will share link to report with councils

TAC Updates:

  • Bria Parker will no longer serve on TAC due to a job change

  • Scheduling next monthly meeting this week - will try to select a time for recurring meetings to avoid excessive Doodle polls

UAC Updates:

  • Testing out monthly meetings and sub-team leading discussions - next meeting in October

  • Remember to complete your sub-team work plan this month

    • centerpiece will be the expansion of the agents module

  • ArchivesSpace Board meeting later this week - will be discussing a DEIA proposal and recommendations regarding the ArchivesSpace program

  • Started evaluating existing organization of docs to identify areas for improvement

  • New initiative this year is to investigate new ways to serve tech docs directly from Github repo, with help of Mark and Blake

  • Mix of TAC and non-TAC members, with big assist from Lora

  • Had first meeting, recapping last year’s work and planning execution of documentation updates this year

  • Proceeding with the understanding that any improvements are a step in the right direction, this will be an ongoing process

  • Onboarded new members, created annual work plan

  • Met with Dev-Pri co-leads to discuss ticket routing

User Docs met for the first time on September 14

  • Discussed the UAC Docs Sub-team 2020-2021 work plan

Cross Council sub-team updates

Dev Pri: @Randy Kuehn @Daniel Michelson

  • Had first meeting on September 1, during which we oriented new members and reviewed 4 tickets.

  • Co-leads met with Usability subteam co-leads to improve coordination.

  • New “usability_subteam” JIRA label created to disambiguate tickets designated for review by the subteam from other usability related tickets. Similar labels will be created for other subteams as needed.

Community Engagement Initiatives:

  • How do sub-teams engage with the ArchivesSpace community? What types of projects do you get feedback on from the community?

    • desire to get feedback

    • survey fatigue - how to coordinate when we send out surveys so they aren’t overwhelming

  • What has worked for you in the past? Surveys, webinars, blog posts?

  • What hasn’t worked?

  • What are you considering doing?

    • considering targeted engagement within emails; give specific ideas for getting involved

    • maybe create a schedule with Christine/create a mechanism for sending out surveys

      • try to engage when people are present

        • webinars - advertise during

          • can add on to the beginning or the end of a webinar for ArchivesSpace

          • Jessica will work to reach out to get information from sub-teams

          • can arrange webinars with Jessica for initiatives and to get feedback

            • can use polling features

        • Valerie: make an event - feedback week or time for the year; potentially a webinar

          • ask questions during a meeting to get feedback

          • consider a planning committee to start this project

          • discuss with sub-teams about asking the community questions and what they would be to see how many questions we have that need feedback
