Upcoming ASpace release

updates from Jessica

• Next release will be out end of March/early April, not expected to need new documentation

• Jessica will let us know if any pages will need to be updated, e.g. screenshots

• As AS team grows, how do we want to be notified of upcoming work needed for new releases? How can we be made aware of what’s happening?

  • should be formally documented; standardize User Docs workflows

  • use Jira?

    • User Docs tag = when would this need to happen and when would we want to know? filter by status?

  • use Airtable for User Docs workflows?

    • or prefer to have everything in 1 system?

Introduction of Martha Tenney, Standards and Testing Archivist for ASpace

Ways to collaborate with User Docs to improve the User Manual (specifically around DACS and ISADg related rules and content). Background: ICA mappings and survey; relevant for this subteam, I am proposing updating the Notes Sub-record page to include relevant DACS and ISAD/ISAAR rules (just as the tooltips for various other fields already include DACS)

• Martha’s work intersects with User Docs

  • testing reveals updates that may need more documentation and metadata standards work requires rigorous documentation

  • working to enhance ISADg, ISAAR, ISDF, ISDIAH compliant archival description in ASpace support (tooltips) and user documentation

• Presently, there are no tooltips for notes and there is no dynamic loading tooltip to provide info. for each type of note

  • May change in future: https://archivesspace.atlassian.net/browse/ANW-2622

  • Proposed updating the Notes Sub-record page to include relevant DACS and ISAD/ISAAR rules (just as the tooltips for various other fields already include DACS)

• Determined that Martha will update the Notes sub-record page by adding a column to the List of Note Types table to include the DACS and ICA standards rules. Once completed, will notify User Docs for review and publishing.

• In future, Martha will meet with User Docs when there are new releases.
