Start of term - how’s it going?

  • Debrief on orientation

All

So far, so good. Assigning teams for new members early on has made it much easier to get going. Getting the “pre-meeting meeting tasks” out of the way now means we feel confident about everyone being ready to work by September (used to be a lot of groups didn’t get to that pre-meeting phase until September).

Though most teams haven’t really gotten going, Member Engagement and User Docs have reached out to their new members and already have smooth continuance of their work from last term. It’s definitely fine to reach out to teams/do work even before new member orientations happen.

Placing TAC new members was a little more difficult since there are some gaps on teams and most of the new members expressed interest in the same functions. Going to encourage additional participation in Metadata Standards team if there’s interest.

This year there are very few people on TAC with code savvy. Would be good to look at recruiting in this area for the future.

Scheduling is always a focus (and a challenge) at the beginning of the term. It may be worth considering whether recurring meetings for different groups could just be carried over from one term to the next.

Leadership training

Christine

Live class is scheduled for Sept. 10 at 1:00 p.m. We’re not sure how many will come (participation in the Doodle poll was low). Participation in the live class will be strongly encouraged (which is as mandatory as we can get) for sub-team leaders.

Both the live training and recorded sessions will be topics on the agenda for the upcoming UAC and TAC meetings. We want to figure out ways to get people to participate, but we also discussed that since they asked for this (at the leadership meeting last winter) and we have not provided it so we’ve held up our end.

We’ll emphasize that this is a pilot and there will be lots of opportunities to shape the experience in this and future years.

Looking ahead for the term

  • Major goals

  • Concerns

All

Some major themes for the year:

  • deploying and engaging in leadership training

  • communication

  • improving workflows

  • increasing visibility of the Councils and their work in the community (we noted that the sessions at the Online Forum worked really well, for both Council and community members in terms of this goal and would like to do something in this vein in this term)

  • recruitment

5 min

anything else?

  • having sub-teams lead discussions at the Council meetings seemed positive, though we didn’t do whole Council (vs. sub-team) retrospectives

  • this year, maybe we can focus on some full Council discussions rather than wholly sub-team-focused. Discussions of some of the leadership training videos might be a topic.
