Program UpdateChristine Di Bella
  • ArchivesSpace project team has been focused on releasing ArchivesSpace 2.1
release will feature the production ready User PUI as well as an OAI-PMH responder; intent is to release in June
  • Have distributed an updated version of the ArchivesSpace road map to the community
  • Looking for additional community partners interested in helping contribute code to ArchivesSpace
  • Will be looking at the staff interface to determine if it needs to be updated
  • Looking at how to make the application easier to install and migrate
  • Interviewing for the new community engagement coordinator
  • Working on planning for the member forum in Portland, OR in July
    • .0 with hopes to push the new version to GitHub this week.
    • The group is also focused on the upcoming member form scheduled July 25 in Portland in conjunction with the Society of American Archivists annual meeting. Christine hopes to provide opportunities to discuss and learn about the software, including a session on the initiative to enhance the staff interface, which will be lead by Lydia Tang. Parts of the program will the live streamed!
    • Christine Kim will be joining ArchivesSpace as the new Community Engagement Coordinator. She will be working with individual members and institutions as well as on community events and projects, including a new blog series.

    Sub-team Reports

    • Have identified a process to ensure that prioritization works smoothly and are in the process of implementing it

  • Have been reviewing the tool tips and working to make sure documentation is up-to-date
  • Going to be working on the public user interface document soon
    • The newly created JIRA workflow, established by program staff and the subteam, has been adopted. Refinements will be made, as needed.
    • The Prioritization Subteam continues to meet monthly to review issues in the bug and feature request queues.
    • Bugs and feature request issues are periodically "pre-screened" by program staff and advanced to these queues. The subteam discusses these issues, provides commentary and additional information; outcomes include 1) promoting issues to HM for development 2) referring issue back to the community or reporter for clarification or 3) "will not fix".
    • Calls now conducted by Zoom videoconference, generously provided by Lydia Tang/MSU. Highly recommended!

    is addressing a known issue with subreports that results in different report exports retrieving different data.
  • We are using the draft of a specification for a Shelflist Report to use as a first attempt at building new pre-defined reports. This will help Laney McGlohon (Unlicensed) understand the needs of the Reports Subteam and help the subteam better communicate report specifications.
  • The Reports Subteam has advised the removal of XLSX report exports in face of CSV exports for tabular data. They have also recommended the addition for an RTF export format.
  • The subcommittee has created a draft ArchivesSpace Reports Module Pre-Defined Reports User Interface. This is available on the subteam's May 9 minutesNew chair is Suzanne Stasiulitis and she will take over with the July meeting
    • to review tasks, test release candidates, provide feedback.
    • The group is currently awaiting feedback from developers regarding the information in and format of report definitions, a sample of which can be found in the Reports Subteam Recommendations for 2017 March Release. Once feedback is ascertained, the group will develop a template for report definitions and begin developing reports based on the subteam's Recommendations for Predefined Reports, which were developed in FY 2017.

    • We are finalizing feedback for the Subteam Charges At-a-Glance document to include more explicit changes that better define our work and the expectations of committee members.
    • 2 members of the group tested the first release candidate for ArchivesSpace v.2.1.0, and communicated results to Laney McGlohon (Unlicensed). The subteam meets later this week, and will review the results before submitting JIRA.
    • Members of the group who are not testing the release candidates for ArchivesSpace v.2.1.0 are working to populate a UAC Reports repository on the test.archivesspace.org installation to ease testing for future release candidates.

  • Working on updating charges for the subteams
    • Members tested the first release candidate for ArchivesSpace v.2.1.0. Testing involved using a testing protocol of the functions in ArchivesSpace so that we could ensure the new functionality and bug fixes didn't break anything in addition to specific testing of new features and bug fixes.
    • Testing for v.2.1.0 was opening up to anybody, and Christine Di Bella has been organizing the deluge of feedback.

    Other Business
    • A UAC member inquired about the reporting lines for the the Agent Specification, and Christine Di Bella reported that the work on this specification was undertaken by an ad hoc group. She encouraged folks to review the specification and make suggestions.
    • A UAC member also asked about performance issues she encountered testing v.2.1.0.rc-1, and Christine Di Bella responded that the project team has been working to clean up the code base to remove redundant code. The project team is also working on addressing issues with large datasets that may also pose an issue.
    • Carolyn Runyon inquired about the OAI responder in v.2.1.0.rc-1, and Christine Di Bella informed the group that v.2.1.0.rc-1 should be substantially improved. She also encouraged folks to send observations to her and Laney McGlohon (Unlicensed).
