Testing Sub-Team: Lead and Vice Lead Roles
This page outlines the roles, responsibilities and expectations of the Lead and Vice Lead roles of the Testing Sub-Team.
Overarching Responsibilities
Coordinate sub-team work throughout the year.
Distribute meeting polls and send calendar invitations.
Prepare and share meeting agendas in advance of meetings.
Facilitate meetings, including:
Initial meeting at start of term.
Mid-year meeting after winter holidays.
Additional meetings held as needed (often aligned with ticket assignments or major testing cycles).
Assign testing tickets, taking into account members' Testing Areas of Expertise.
Lead regression testing for major releases.
Facilitate working sessions where sub-team members work together on assigned tickets.
Provide report-outs at TAC and UAC meetings.
Stay in close communication with ArchivesSpace Senior Program Manager.
Contribute updates to quarterly reports for the ArchivesSpace Governance Board.
Timeline of Responsibilities
Pre-Term/Summer (June-August)
Lead
Receive new member list from UAC/TAC Chairs (usually June).
Draft and send welcome email to all members (late July).
Schedule initial meeting (by late July/early August) to introduce team members to each other, and onboard group to the work of the team. Shortly after the meeting:
Share access links to Testing spaces: Google Drive, JIRA, Confluence Wiki
Send Testing Areas of Expertise poll (this helps inform ticket assignments).
Lead additional meetings as necessary as testing work become available.
Recruit and onboard new Vice Lead.
Fall Term (September-December)
Lead
Assign tickets to sub-team members as they become available.
Schedule and lead sub-team meetings to coordinate testing work or other projects.
Contribute and submit first quarterly report (due by November).
Report out at monthly TAC/UAC meetings.
Vice Lead
Assist with meeting facilitation, note-taking, or coordination.
Serve as backup facilitator for meetings, working sessions or report-outs if Lead is unavailable.
Spring Term (January-May)
Lead
Schedule and lead mid-year check-in meeting after holidays (by January).
Oversee any remaining ticket assignments.
Schedule special projects/efforts as needed.
Contribute to quarterly reports (January, April).
Prep report-outs for monthly TAC/UAC meetings.
Begin transition planning for incoming Lead.
Vice Lead
Take on more active support role as needed (e.g., prepare and give report-outs at monthly TAC/UAC meetings, facilitate working sessions, or update documentation/Confluence).
Prepare for Lead role in upcoming term.
