Program Update

• 4.0 officially came out last week! Available for install and testing.

• Noted in release notes: There are a few pieces that are going to make installing this version different.

• Your environment will need a Java update, for example, before upgrading.

• Updating VPAT on accessibility section. This will be a topic for future Advisory Council meetings.

• Later in the week: Call for proposals for Virtual Member Forum will go out. Proposals can cover a broad range of topics: the work you do, the way you contribute to your Council group. Don't be shy! :-)

• Metadata Standards: Continued working on Jira tickets:

  • Issue in ANW-2113 is resolved and ready for inclusion in release candidate

  • Obtained user feedback via listserv for tickets 547 and 656

  • Making plans to attend member match mixer in March.

• Technical Documentation:

  • Lyrasis has launched new tech docs site: ArchivesSpace Technical Documentation

  • We’re facilitating improving that site, including by collaborating on issues in https://archivesspace.atlassian.net/jira/software/projects/TD/boards/57

  • Continuing to update docs related to the API, both in the new tech docs site and in examples in the API documentation

• Testing:

  • Resignations: Ashley Williams Clawson

  • Mary Kidd and Michelle met with Christine at the end of December to discuss the Regression Testing Debrief and determine priorities for remainder or session

    • Work on creating pre-populated test data

    • Continue adding conditional statements to testing documentation to make testing clearer

  • Meeting Thursday, February 6 to discuss and assign this upcoming work.

• Thanks to Regine, Michelle, Kevin for responding to questions over the last month on the ArchivesSpace Member List!

• Upcoming joint meeting: Focus on Accessibility and ASpace.

  • This topic was selected due to the Department of Justice’s final rule updating regulations for Title II of the Americans with Disabilities Act published on April 24, 2024. Many member institutions are working to comply with the stipulations of this rule and questions about how this relates to ArchivesSpace have been raised.

  • Please add to the shared doc for questions in advance of the February joint meeting

• Recent/Upcoming webinars and meetings:

  • Using Weblate to translate ArchivesSpace (recording)

  • 2/20: Basic Record Creation

  • 3/26-27: Virtual Member Forum

• TAC/UAC Quarterly Report is complete and will be submitted shortly. Thanks to all for contributing!

Where there any notable areas of similarity/divergence?

• Mary K.: The labor of lead/vice lead came up: how much time does this take up? How does this differ from group to group? Austin mentioned in the past he scheduled times for leads/vice leads to talk to one another. Attendance wasn't great, but some people in current group expressed interest.

• In other breakout session, Diane mentioned that EAD4 came up!

• Austin wondered: should we mix it up again, and have the sub-groups meet again in this way? Many attendees nodded on camera! Also mentioned that he may plan a more focused topic of discussion, like stepping the group at-large through the development roadmap.

• Michelle thought it was useful in terms of discussing specific workflows.

Suggestions from open mic:

• Michael Andrec: Somebody mentioned some interest in how to handle bi- or multi-lingual finding aids, in a previous meeting. He is super interested in exploring this further.

  • Austin will get Michael in touch with Kevin, Thimios and others who are involved.

  • Kevin mentioned they have been primarily working on resource titles, more work to be done with the data model.
