DRAFT Member Engagement 2024-2025 Retrospective

  • Accomplishments

    • Submitted revised charge to council, with aim of better clarifying relationship of Member Engagement to Member Match program

    • Worked with Community Engagement Lead, Jessica Crouch, to administer Member Match Program

      • Held four formal quarterly events (Member Match Mixers):

        • Mixer #1: Tips & Tricks

        • Mixer #2: What Are Your ArchivesSpace Resolutions for 2025?

        • Mixer #3: Meet the Metadata Standards Sub-Team!

          • Hosted Diane Biunno & Frank Foss, Co-Leads

        • Mixer # 4: Reflections on Member Match

      • Held nine “First Friday: Take a Break with ArchivesSpace” informal events, a monthly open discussion event where any participants could come to talk with the program team about anything, ASpace related or not. Sub-Team members shared hosting duties.

      • Created Discussion topics document, to give cohort members ideas for conversations to have with their matches

      • Used the listserv to provide updates about the Member Match program to participants

      • Debuted Member Match Slack channel for announcements & discussion

      • Changed feedback model by eliminating half-year survey in favor of a more robust end-of-year survey

    • Launched Member Match 2025-2026

      • Retained 3 person matches and optional demographic questions which debuted in 2024-2025 application.

  • Challenges

    • Lost Immediate Past-Lead early in term. While this generally works fine a small team, the size could be intermittently challenging.

    • Not all member Match participants are willing to engage with their matches or the larger group. Some people with failed matches felt awkward about asking for re-assignment.

      • Variable attendance at hosted events is fine, but Consider skipping January “First Friday” due to low attendance/scheduling difficulties.

  • Priorities

    • Continue Member Match program

      • More aggressive approach to early match re-assignment, with all members required to check-in and AFFIRM that they wish to remain with their existing match(es). Will be presented as an fun opportunity, so nobody has to feel awkward asking for change. Those who entirely failed to connect with original matches may be barred from re-assignment.

      • Debut Slack channel with cohort kickoff & be more proactive about discussion prompts

      • Collaborate with at least one UAC sub-team on a quarterly event

    • Review/refresh documentation
