Dear (Names of Nominating Committee appointees),
Congratulations! As chair of the (year) ArchivesSpace Nominating Committee, I am pleased to inform each of you that the ArchivesSpace Governance Board has appointment you to serve on this year's Nominating Committee.
This is a short-term appointment, as our work will take place between early April and early July, with our greatest activity occurring in May. Despite the brevity of our commission, this is a very important responsibility that will shape the future of the ArchivesSpace community through its governance board and councils. We are fortunate to have each of you participate in the election and appointment process this year.
I have been appointed by the ArchivesSpace Governance Board to serve as the chair of our Committee and Board liaison. (Name, Institution) and (Name, Institution) will serve on the Committee as the respective chairs of the Technical and User Advisory Councils.
The Committee’s charge this year includes:
1) posting a call for nominations for election to the ArchivesSpace Governance Board for the (fill in membership level or levels) membership levels; the Committee will select and present two nominees from each level to the Governance Board for approval to appear on the election ballot;
2) posting a call for nominations for appointment to the ArchivesSpace Technical Advisory Council to fill (fill in appropriate number) vacancies; incumbents in all (fill in appropriate number) positions are eligible for reappointment; the Committee will select and present the required number of nominees for each vacancy to the Governance Board for approval.
3) posting a call for nominations for appointment to the ArchivesSpace User Advisory Council to fill (fill in appropriate number) vacancies; incumbents in all (fill in appropriate number) positions are eligible for reappointment; the Committee will select and present the required number of nominees for each vacancy to the Governance Board for approval.
Our first task will be to review and revise the calls for nominations. I will circulate drafts by (date) and request your input by (date).
To help us get started and review the calls for nominations, I would like to schedule a conference call meeting of our Committee in early April, preferably (dates). I will send out a Doodle poll so that you can indicate your availability. Let me know if you do not receive an invitation to this poll.
