Scheduling going forward - does previous time (first Thursday of month at 11 a.m. Eastern/8 a.m. Pacific) work? Anything else we should work out schedule-wise?

 

We agreed to keep the same day, but move the time to :30 to be a little better for the West Coast folks. Christine will update the calendar appointment.

Checking in on start of term activities

There is an unexpectedly large volume of administrative work associated with the start of the term. The new member orientation went well and was recorded for those who couldn’t attend live. First meetings have been scheduled for each Council and everyone has been assigned to teams. They’ve created a “magic spreadsheet” to keep track of the rosters. New members weren’t given a choice, but information was collected during the nominations process to inform team placement, which helped a lot.

TAC will hold optional office hours for sub-team leads/vice leads to provide additional support. UAC is working on scheduling a meeting with leads/vice leads.

With changes in Doodle (can only offer 20 times) we may need a new scheduling tool. Christine will investigate options for support from the program for possibly a paid tool that could be shared.

Teams are going to be working on workplans soon. This group will create a template based on past workplans to help with that process. UAC will also be creating a Council workplan. We will again encourage teams to think about opportunities for collaboration to include in their workplans.

There are a few teams that don’t have a vice lead right now, including Testing. Rachel has offered to help Tech Docs get going and as needed.

Addressing UAC turnover and making sure people feel supported and clear on their work

Continued focus on continuing and maintenance as a community value - would be good to include in workplans something about continuity/succession planning in workplans to make it easier to handle situations like last year where a lead or vice lead left a team mid-term

Make Council meetings more participatory and value added, including adding some deep dives or guest speakers to address particular topics

Building connections to Council alumni/tapping into the community of past Council members

Perhaps reaching out to outside groups like the SAA User Experience section about communicating about common interests

Building on what was done last term, Suzanne will propose a casual virtual meetup for the Councils for the Fall - planning was minimal and consisted primarily of finding a time and having a couple topics at hand in case conversation needed a kickstart

Consider an in person get together for SAA - there were a lot of Council members in Washington DC this year and it was a great opportunity to meet many people for the first time
