Project to diversify data in the the AS test system

Brittany Newberry joined us to present on project to diversify the collection represented in the ArchivesSpace test data used in testing as well as in the sandbox. Submit candidates for inclusion by March 23, data refresh will take place in April

Old business:

• Division between Creating and Managing Resource Records, Creating a Minimal Resource Record, and Adding Additional Information to a Resource Record

  • No merge function, we don’t have delete permissions.

• .yml instructions in manual, found in https://archivesspace.atlassian.net/wiki/spaces/ArchivesSpaceUserManual/pages/895812108 and https://archivesspace.atlassian.net/wiki/spaces/ArchivesSpaceUserManual/pages/893976727 . The instructions verge into tech doc territory, but are more fleshed out than this page tech-docs .

  • Need to indicate need sys admin permission, direct to tech doc

Jessica talked about issues that users have with DOs to keep in mind while updating documentation:

1. ArchivesSpace isn’t a digital asset management system, is place to record metadata about digital content only

2. Implications of creating simple vs. complex DOs and need to consider desired behavior, particularly in regards to exporting data. Not all uses of DOs are compatible with all export types.

Suggestion for documentation: create in-depth functional overview, keep other pages succinct and focused without suggesting ways to use

Look for place to record instructions for how to display a thumbnail in the PUI.

Side conversation about PUI resulted in two things to add to the parking lot of future User Doc projects:

1. What fields can/cannot be published to the PUI

2. General documentation specifically about the PUI

Next meeting on March 21 conflicts with the User Forum. Does April 18th meeting conflict with anyone’s Easter or Passover plans?
